Service Overview
Workday Security provides centralized support for requesting, updating, and troubleshooting Workday access across Finance and Human Capital Management (HCM). Requests are reviewed for business need, appropriate approvals, security risk, separation of duties, and alignment with University standards.
Important: Submission of a request does not guarantee approval. Some requested access or delegation arrangements may not be supported under the applicable Workday Security standard. When appropriate, Workday Security will help identify a supported alternative.
Available Services
Request Security Role Assignment
Use this option to request new, changed, or removed HCM or Finance role-based access in Workday.
Important requirements:
- The employee receiving the access should submit their own request.
- Submit one employee per request.
- Describe the business need even if you do not know the exact security role.
- Requests follow the applicable management, departmental, functional, and security approvals.
Workday Security reviews the requested access, organizational assignment, approval evidence, security considerations, and separation of duties before access is assigned.

Reassign a Task/Transaction
Use this option when a specific Workday task or business process transaction needs to be reviewed, corrected, or reassigned.
Examples include:
- Unassigned tasks
- Tasks assigned to someone who is unexpectedly unavailable
- Transactions that may need to be corrected, rescinded, or reassigned
- Business-process routing issues
Workday Security will review the transaction and determine the appropriate supported action.

Workday Delegation
Delegation is intended for short, defined coverage when another employee needs to temporarily act on your behalf. It is not intended to permanently reassign job responsibilities.
Standard delegation:
- Upward or lateral within your supervisory organization.
- Limited to specific business processes and no more than 90 days.
- Normally submitted through My Delegations in Workday.
- Requires manager approval and Security Partner review.
Non-standard requests: Downward delegation, delegation outside the supervisory organization, broad task coverage, or ongoing arrangements are not available through the standard delegation process. At this time, there is no established Workday Security exception approval process for these arrangements.
A TDX request may be submitted to document the business need and allow Workday Security to evaluate supported alternatives or determine whether leadership consideration is appropriate. Submitting a request does not create or guarantee an exception or approval.

Proxy Access
Proxy is restricted elevated access in a non-production Workday environment and is not standard access for troubleshooting, training, reporting, general testing, or Workday support.
Before requesting proxy:
- Use screen sharing, screenshots, approved remote support, report/security analysis, or an appropriately secured tester when those options can meet the need.
- Approved User Acceptance Testing (UAT) may qualify for temporary proxy when proxy is necessary for the defined testing.
- Other requests are considered exceptional business needs and require additional review.
Proxy access is granted only when a documented business need cannot reasonably be met through a lower-risk alternative and all required approvals are completed. Submitting an exception request does not guarantee approval.

Access Questions & Issues
Use this option for general Workday access questions or issues when you are unsure which request type applies.
This may include:
- Trouble initiating or approving a transaction
- Questions about what you can see in Workday
- Questions about whether your access is appropriate
- Help determining whether the need should be addressed through a security role, delegation, task reassignment, or another solution

What Happens Next?
- Workday Security reviews the request and determines the appropriate supported path.
- Additional information, functional review, or approvals may be required.
- The request may be approved, declined, returned for additional information, or redirected to another supported solution.
- Non-standard delegation or proxy requests are not approved simply because a request or business justification was submitted.
- You will be notified as the request progresses.
Your Role in the Process
- Clearly describe the business need and what you need to see, initiate, approve, or accomplish.
- Include the affected employee, position, supervisory organization, Cost Center, transaction, or business process when known.
- For temporary coverage, provide the requested dates and specific business processes involved.
- Explain why available standard or lower-risk alternatives do not meet the need when requesting a non-standard arrangement.
- Respond to follow-up questions or approval requests in a timely manner.
