IT Project Management: Project Management Process

Overview

University of Arkansas faculty and staff can request project management services from the IT Project Management team. An intake process ensures that the request meets the project management criteria set for IT Services. If the request meets the project criteria, it can become a project.

IMPORTANT: Projects requiring any IT purchase must meet IT PMO project request prerequisites before initiating the project request.

Step 1: Initiate

Prerequisites must be met before submission of the IT PMO Project Request.

Required prerequisites for all IT PMO project requests:

  • Project Sponsor approval

Required prerequisites for project requests that include an IT purchase (if applicable):

  • VPAT review
  • HECVAT review
  • Legal review 

Prerequisites for an IT PMO Project include approval from the project sponsor, acquisition and review of a VPAT and a HECVAT and legal approval if a hardware or software purchase is a component of the project, and knowledge of project details.   • Requestor submits an IT PMO Project request form after completing all prerequisites. Submission of the IT Project Request in TeamDynamix creates a project ticket,

Step 2: Plan

  • PMO team confirms project sponsor approval.
  • PMO team reviews the IT PMO Project request for completeness and may contact the requestor if additional information is needed.
  • The IT PMO Project request is presented by the director of PMO and the project requestor at the Steering Committee Review, during which all the information provided with the project request will be evaluated.
  • With the final approval, the IT PMO Project request will be added to the project queue, and as capacity allows, a project manager (if needed) will be assigned and the project will be initiated.
  • During the Project initiation and planning, the Project Manager reaches out to the stakeholders for defining the scope, resources, and time of the project.
  • A project charter, RACI, and project plan will be developed with input from all stakeholders.

Step 3: Execute, Monitor, and Control

During the Execution, Monitoring, and Controlling stage, the Project Manager will commence regular project meetings with team members and communication with stakeholders.

The status of the project will be maintained and kept up to date on the Projects page where assigned team members can see the project status and check their tasks by accessing the project details. Users must be signed in to view the Projects page.

Step 4: Close

A retrospective will be conducted by the team, led by the project manager, and the project manager will create a Closeout Report for the project team.

The project is officially closed when the Sponsor signs off on the project completion.
