Creating and Managing Exchange Resources such as Meeting Rooms and Projectors

Exchange resources, such as meeting rooms, projectors and other items, can be reserved by inviting them as "attendees" of meetings. To get started, request a resource account.

  1. To request a resource account, submit a ticket.
  2. In the ticket, specify whether the resource is a location or equipment.
  3. Name the resource:
    • Location resource accounts should follow the convention:
      Department Code:Room Name:Building:Room Number
      (ex, UITS:Conference Room:ADSB 240)
    • Equipment resource accounts should follow the convention:
      Department Code:Equipment Name
      (ex, UITS: Media Cart)

Exchange resources are managed and controlled by the individuals who are members of the department's Resource Coordinators group. Typically, resources are set up to handle meeting requests on a first come, first served basis.

To write events directly to a Resource Calendar, the user must be a member of the Resource Coordinators group for the department.

  1. Log into outlook.office.com with your UARK email address and password.
  2. Click your profile picture in the top right and select Open another mailbox.
  3. Start typing the display name of the resource. Resource names begin with the four-letter code of the department that owns them. The first five results will be displayed. Click Search Directory to view a full list. 
  4. Select the resource and click Open. 
  5. Click the Settings gear icon in the upper right and select Calendar. From the menu on the left, select Resource scheduling. 
  6. Change settings appropriate for your resource. Click Save.
