Viva Engage: Integration with Microsoft applications

Overview

Viva Engage integrates with other Microsoft 365 applications to strengthen collaboration, knowledge sharing, and engagement across the university. These integrations allow you to interact with Viva Engage conversations directly from tools you already use, making it easier to stay connected without switching platforms. By understanding and using these integrations, you can save time, streamline workflows, and keep community discussions visible where work is already happening.

Tip: Did you know? You can integrate Viva Engage into the tools you use most, like Teams, Outlook, and SharePoint. You don't have to switch apps to engage.

Integrations

Microsoft Teams

  • Integration: Add Viva Engage communities as tabs in Teams channels or access the Viva Engage app directly in Teams. (Directions: Add a Viva Engage page to a Teams channel)
  • Integration: Add Viva Engage as an app on the Teams sidebar. (Directions: Add an app to Microsoft Teams)
  • Best Practices:
    • Use Viva Engage for broad, cross-team conversations and Teams for project-specific chats.
    • Reply / post inside Teams to reduce tool switching.

SharePoint

  • Integration: Embed Viva Engage conversations directly into SharePoint pages to connect community discussions with shared content and resources. (Directions: Use a Viva Engage web part in SharePoint)
  • Integration: If the Viva Engage community has their resources active, a SharePoint document library and site are created as a shared resource. (Directions: Manage Viva Engage community resources)
  • Best Practices:
    • Place Viva Engage feeds on departmental or project SharePoint sites to foster conversation around documents and policies.
    • Use the integration to collect feedback on resources posted in SharePoint.

Outlook

  • Integration: Receive Viva Engage community updates and notifications in Outlook and reply directly from your inbox. (Directions: Work with Viva Engage from Outlook)
  • Best Practices:
    • Reply from Outlook only for quick engagement such as liking; use the Viva Engage app for detailed responses.
    • Users can modify their notification settings. (Directions: Viva Engage: Notification settings)
    • Move an email conversations to Engage for transparency and collaboration.

OneNote

  • Integration: If the Viva Engage community has their resources active, create and edit a shared OneNote notebook for the community for gathering ideas, research, and information.
  • Best Practices:
    • Open OneNote wherever you use it and link to the Community resource journal.

Microsoft 365 Groups

  • Integration: When a Viva Engage community is created it automatically creates a dynamic Microsoft 365 group. Community membership is tied to the group membership.
  • Integration: If the Viva Engage community has their resources active, the Microsoft group can share / create / edit resources. 
  • Best Practices:
    • Use the Group’s shared resources for structured collaboration, while using Viva Engage for open discussion.
