Prioritization Framework
The Prioritization Framework defines how the Business Process Management (BPM) team evaluates, sequences, and schedules Workday-related requests. Prioritization ensures that work aligns with institutional impact, available capacity, risk, and strategic value.
Purpose of Prioritization
Prioritization ensures that BPM resources are applied intentionally and transparently to work that delivers the highest institutional value while managing risk, capacity, and competing demands.
- Aligns work to university and divisional priorities
- Balances urgency with effort and sustainability
- Provides transparency into why work is scheduled, deferred, or declined
- Supports informed leadership decision-making
Evaluation Criteria
| Criteria |
Considerations |
| Business Impact |
Scope of impact, number of users affected, and operational significance. |
| Urgency & Timing |
Regulatory deadlines, payroll cycles, academic calendars, or time-sensitive needs. |
| Effort & Complexity |
Level of work, dependencies, testing requirements, and coordination needed. |
| Risk & Compliance |
Policy, audit, security, or data integrity considerations. |
| Capacity & Sequencing |
Current workload, resource availability, and interaction with other initiatives. |
Possible Prioritization Outcomes
- Approved to Proceed: Work is authorized to move into Planning.
- Scheduled for Future Work: Work is approved but deferred to a later timeframe.
- Redirected: Request is better addressed through another process or team.
- Closed as Out of Scope: Request does not align with BPM-supported work.
Decision Authority
- BPM Team: Conducts evaluation, provides analysis, and recommends prioritization.
- Functional Leadership: Provides input on timing, risk, and operational impact.
- Executive or Governance Bodies: Engage when decisions exceed operational authority or involve enterprise trade-offs.
What Prioritization Is Not
- A guarantee that work will start immediately
- A reflection of the importance of a requester or unit
- A replacement for governance or escalation
- A one-time decision that cannot be revisited
