Term Definition
BPM (Business Process Management) A structured approach to improving, documenting, and overseeing business processes to ensure they are efficient, consistent, and aligned with institutional goals.
Business Analyst A team member who analyzes, documents, and proposes improvements to business processes by collaborating with stakeholders, gathering requirements, and supporting implementation.
Business Process (BP) A sequence of tasks or steps in Workday that route actions for approval, review, or completion (e.g., Hire, Change Job, Compensation Review, Create Requisition).
Business Process Configuration The setup of routing steps, conditions, roles, alerts, and rules that define how a Workday business process functions.
Calculated Field A custom field created in Workday to derive values dynamically based on other data inputs, commonly used in reports, routing, and validations.
Change Management A structured approach to preparing, supporting, and helping stakeholders adopt new or modified business processes.
Change Request A small-scale request to modify or correct an existing business process due to a logic issue, error, or improvement need. Typically handled through routine intake rather than as a full project.
Condition Rule A logical statement used to control whether a specific step or approval in a business process will trigger based on defined criteria.
Cross-Domain Process A process that spans more than one functional area (e.g., HR and Finance) and requires coordinated collaboration.
Discovery The initial phase of a project or optimization effort where current-state processes are documented, stakeholders are engaged, and requirements are gathered.
Effort Assessment An evaluation performed during intake to estimate time, complexity, scope, risk, and level of stakeholder involvement.
Fit / Gap Analysis A method used to compare current-state processes with proposed solutions or system capabilities to identify alignment and gaps.
Knowledge Base Article (KBA) An instructional or informational article maintained in TeamDynamix to assist users with Workday-related tasks or process understanding.
Matrix Organization A Workday organizational structure that allows an employee to report to more than one organization or functional area.
Process Audit A review of an existing process to evaluate efficiency, compliance, risk, and opportunities for improvement.
Process Mapping The act of visually documenting a business process from start to finish, typically using tools such as Lucidchart or Visio.
Process Optimization The refinement of a business process to improve performance, reduce redundancy, or enhance user experience.
Project After-Action / Lessons Learned A retrospective document capturing insights, successes, and improvement areas from a completed project to inform future efforts.
Project Closure Document A formal record marking the end of a project, confirming deliverables, approvals, and closure of outstanding items.
Project Lead The individual responsible for planning, execution, and successful delivery of a process-related project and serving as the primary stakeholder contact.
Project Plan A structured document outlining goals, timelines, tasks, roles, dependencies, and milestones.
Project Request A formal request for a significant process improvement effort that requires structured discovery, collaboration, and governance.
SLA (Service Level Agreement) A defined timeframe and service expectation for completing tasks or responding to requests. SLAs help set clear expectations for turnaround time, prioritization, and accountability.
Scribe A digital tool used to create automated, step-by-step instructional guides for system tasks.
Security Role A set of permissions in Workday that determines what tasks, reports, or data a user can access.
SOP (Standard Operating Procedure) A documented, repeatable set of instructions for performing a task or process consistently and accurately.
Step Routing The flow of approvals or actions in a Workday business process based on assigned roles and condition logic.
Supervisory Organization (Sup Org) A Workday structure used to group workers under a manager and define reporting relationships.
TeamDynamix (TDX) The service management and ticketing platform used at the University of Arkansas to submit, track, and manage Workday-related requests.
TDX Service Request A formal intake form submitted through TeamDynamix to request changes to supported services, including business processes, security, and organizational structure.
UAT (User Acceptance Testing) A validation process where users confirm that a new or updated business process functions correctly before being moved to production.
Validation Rule A rule that enforces data requirements or prevents users from proceeding unless criteria are met.
