Data Holding Device Disposal Service

 

The ITAM Device Disposal Service supports campus units with the secure surplus of data-holding technology devices. IT Asset Management (ITAM) coordinates pickup, secure data destruction, asset tracking updates, and confirmation of disposal. Certificates of Destruction (CODs) are uploaded to Workday.

Before You Submit

University employees and CCBATS members acting on behalf of their units must:

  • Complete the Surplus Request Template and list all data-holding devices (e.g., laptops, desktops, servers, tablets, mobile phones, hard drives, SSDs, USB storage devices).
  • Ensure devices are available in a central pickup location.
  • Identify a departmental contact for coordination (typically a CCBATS).

This service is only for data-holding devices. All other surplus must be processed through Workday and Surplus Property.

How the Process Works

  1. Submit the service request and attach the completed Surplus Request Template.
  2. ITAM reviews the request for completeness and eligibility. If non-data-holding devices are included, the request will be returned for correction.
  3. ITAM contacts the requestor to coordinate a campus pickup date.
  4. Devices are securely processed, and Certificates of Destruction (CODs) are uploaded to Workday for each asset.
