Workday Announcements

Overview

Workday announcements are a communication tool within the Workday platform used by organizations to disseminate important information to employees. These announcements can be used for a variety of purposes, including sharing company news, event notifications, policy updates, compliance reminders, and emergency communications.

Workday announcements help ensure that all employees are kept informed about relevant and timely information that affects their work and the organization. They appear on the Workday homepage or dashboard, making them easily accessible to users upon logging in. Announcements can be targeted to specific groups within the organization or broadcast to all users, depending on the nature of the message.

Using Workday announcements, organizations can effectively manage internal communications and ensure that critical information reaches the appropriate audience promptly.

Required Information

The Workday Announcement feature has a set structure that requires you to specify the following pieces of information for each announcement: 

  • Announcement Title: Tell us the title for your announcement (maximum of 15 words).
  • Announcement Text: Write the announcement content (maximum of 350 words).
  • Audience: This is the population that the announcement will be displayed to (i.e. all employees, all faculty, benefits-eligible employees, extra help employees, etc.). Please see the Announcement Scheduling Guidelines below for information about processing times for the various audiences.
  • Schedule: Indicate the start date and the end date of your announcement.
  • Banner Image: Upload a banner image if desired. Workday will display a stock image for announcements with only a title. Please attach your banner image via the attachment link at the bottom of the ticket.
  • Hyperlinks: You can include hyperlinks within the announcement text to provide additional materials.

Workday Announcement Limitations

Announcements on the Workday Home page don't support font size and color settings in the rich text editor. Please refer to the limitations below for maximum characters and formatting parameters.

  • Font: Roboto
  • Font Size: 12 pt
  • Font Color: Black 
  • Formatting: Regular, bold, italic, and underline
  • Bullets: Only one level for bulleted lists
  • Image Sizes: Images should use a 16:9 aspect ration (1920x1080 px). Please note that Announcement preview thumbnails change images to a 4:3 aspect ratio (1024x768 px). When selecting images that include text, make sure your text fits within the 4:3 aspect ratio.
  • Image File Size: Images must be 300KB or smaller.
  • Image Types: Allowed file types are JPEG and PNG (without transparency).

NOTE: Workday will not auto-scroll through all announcements, but will show the most recent announcement first until it's expiration date. User may need to manually scroll through all announcements to see you posting.

Announcement Scheduling Guidelines

The processing time for Workday announcements varies based on the audience targeting criteria.

  • For announcements directed at specific employee groups using standard data attributes—such as security role, supervisory organization, position status (e.g., full-time vs. part-time)—the typical lead time is 2-3 business days.
     
  • If an announcement requires a more complex audience selection—such as identifying employees impacted by a specific event (e.g., recipients of a 1095-C form) or based on calculated criteria (e.g., employees with five or more years of service)—additional time is needed to conduct research, configure targeting, and perform internal testing. In these cases, the expected turnaround time is 7-10 business days, including validation by the requesting department.
