Business Process Change Request
Service guide | What to request, how to prepare, and what happens next
When to Use This Service
Request assessment of a new or changed Workday business process. A business process is the sequence of steps used to complete an activity, including who initiates, reviews, approves, or takes action.
- Improve or redesign an existing process, including routing, conditions, approvals, or notifications.
- Assess new functionality or review whether existing functionality is being used effectively.
- Assess a process currently handled outside Workday for possible implementation in Workday.
- Address a policy, audit, compliance, or institutional need that requires a process change.
- Coordinate a change affecting multiple departments or functional areas.
What to Have Ready
- Requester: The person who understands the need, can explain requirements, identify participants, and respond promptly. This may be someone other than the person completing the form.
- Process or activity: Select the business process if known. Otherwise, describe what you are trying to change. For a process outside Workday, explain how it works today.
- Business need and desired outcome: Explain the problem and what should be different. You do not need to design the solution.
- Impact and timing: Identify affected groups, any requested date, and why that date matters.
- Supporting information: Include relevant examples, prior ticket references, or documentation. Use approved methods for sensitive information.
You do not need to know the functional owner’s name before submitting. Identifying the correct business process allows the request to route to the responsible owner.
Functional Owner Approval
Once the business process is identified, the request routes to its functional owner for approval. If the process is unclear, Process Innovation may contact the requester to identify it and confirm the correct routing.
This approval is recorded in the ticket even when the requester has already obtained approval elsewhere. The functional owner decides whether the request should move forward for Process Innovation assessment.
Approval authorizes assessment; it does not guarantee implementation, priority, or a completion date. If the owner does not approve, the request will not advance to assessment.
What Happens After You Submit
- Initial review: Confirm the request is complete enough to identify the process and route it appropriately.
- Owner approval: Route to the functional owner and document the decision.
- Assessment and prioritization: Review scope, impact, dependencies, readiness, and the appropriate solution approach.
- Design and validation: If approved and scheduled, develop requirements, coordinate configuration, and complete applicable User Acceptance Testing.
- Implementation and review: Confirm production readiness, monitor stabilization, and evaluate the resulting outcomes.
Your Role During the Request
Keep questions, decisions, and responses in the ticket. Respond to requests for information and participate in reviews or testing when needed. Identify other people who must help define requirements or confirm the results.
The functional owner retains responsibility for business rules and operational decisions. Process Innovation coordinates assessment, solution design, validation, and implementation with the responsible teams. If required information or participation is unavailable, work may be placed on hold.
