Load EIB

Service guide | What to request, how to prepare, and what happens next

When to Use This Service

Use this service to request a bulk upload of data into Workday using an Enterprise Interface Builder (EIB). An EIB uses a standardized spreadsheet to add or update multiple records instead of entering each change individually.

Process Innovation supports the following EIB loads:

  • Assign Costing Allocations
  • Edit Position
  • Change Job
  • Edit Position Restrictions
  • Import Employee Award
  • Manage Period Activity Pay Assignments
  • One-Time Payment (OTP)
  • Request Compensation Change

Process Innovation reviews the request, validates the file, and performs testing and Production loads within its available system access.

What to Have Ready

  • Current template: Review the Submitting an EIB article and use its current template. Do not reuse a saved template unless you have confirmed it is still current.
  • Completed and reviewed data: Complete all required fields and check the information for accuracy, including effective dates and the records being changed.
  • Request details: Identify the EIB type, purpose, affected population, approximate number of records, and any processing deadline.
  • Business authorization: Have any required approvals for the underlying changes available.
  • Available reviewer: Identify someone from your area who understands the data and can validate the results in both the test and Production environments.

Follow the submission instructions for providing the file. Use approved methods for sensitive information.

Data Review and Production Approval

Process Innovation checks the file for processing errors and performs the EIB load. The requesting department is responsible for the accuracy of the submitted data and for confirming that the resulting Workday changes are correct.

A successful load does not, by itself, confirm that the business information is accurate. The requester must review the test results and document confirmation in the ticket before the file moves to Production.

Production is the live Workday environment. Submission does not authorize an immediate Production load or guarantee a completion date.

What Happens After You Submit

  1. Request review: Process Innovation reviews the request and spreadsheet for completeness and confirms the appropriate processing approach.
  2. File validation: The file is checked for formatting problems, missing information, invalid values, and other errors that could prevent processing.
  3. Corrections, if needed: Process Innovation provides error information through the ticket. The requester corrects the file and returns the updated version using the instructed submission method.
  4. Test load: Once ready, Process Innovation loads the file into the Workday Sandbox (SBX) test environment. Test loads generally occur on Mondays, subject to university holidays and system availability.
  5. Requester validation: The requester reviews the test results and confirms their accuracy in the ticket by the following Friday, unless a different timeline is communicated.
  6. Production load: After successful testing and requester confirmation, Process Innovation confirms readiness and performs the Production load.
  7. Final validation: The requester reviews the live Workday results and confirms through the ticket that the information is correct. Any discrepancies must be reported for follow-up.

Your Role During the Request

  • Keep questions, corrections, decisions, and validation confirmations in the ticket.
  • Respond promptly to requests for information and return corrected files when needed.
  • Confirm that the intended records, values, and effective dates are correct in both test and Production results.
  • Tell Process Innovation if the file changes after testing or if any records have already been submitted or loaded. Changes may require additional validation or testing.
  • Report errors or unexpected results before submitting another file for the same records.

Missing information, file errors, or delayed validation may affect the schedule. If your reviewer becomes unavailable, identify another person who can confirm the business results.
