Reviewing your knowledge base articles

NOTE: This information in general, excluding instructions for specific editors, applies to all university public documentation. 

The first review is immediately after creating an article. After saving, click the article title in the breadcrumbs at the top to view the article. You will want to check the article to make sure it looks as intended. Content can appear as formatted differently when viewed as the published article than it does when editing. All the links in the article should be checked to make sure the URLs entered are correct. Use the Knowledge Base New Article Checklist to proof your new article. 

Setting a Review Date

Next Review Date is useful as a reminder for article reviews.

The Notify Owner of Review Date checkbox will email the article owner with a reminder for article review to see if information has changed and needs to be updated. The length of time between reviews could vary for different information, but all articles should be reviewed at least annually.

IMPORTANT: After each review date, the Review Date must be manually reset for the next review reminder notification. 

Article Review Checklist

  • Does the article contain outdated information?
  • Is there new information available that should be added to the article?
  • Does the article need more detailed information added?
  • Does the article make sense out of context from other articles?
  • Check all the links in the article. Even if they are not broken links, confirm that they still go to the expected information. 
  • Rewrite confusing content.
  • Read through all the sections and determine if any of the information belongs in a different section or if the sections should be in a different, more logical order. 
  • Are there links to a main/hub article and to other related articles both in the content and in related articles?
  • Check all the links in the article at every review. Linked pages might be gone or the information changed to no longer be relevant.
  • Send the article to SME (Subject Matter Expert) for review if necessary.
  • Remember to set a new review date to notify the article owner when it time for the next review. The Review Date will not update automatically.
  • Archive the article if it is outdated or has been replaced.
