Reportable IT Projects: How to convert a Reportable IT Project to an IT Project Management Office (IT PMO) project

Overview

Audience: Project Managers and Project Sponsors of Reportable IT Projects

A Reportable IT Project should be converted to an IT Project Management Office (IT PMO) project when:

  • becomes more complex than originally anticipated
  • involves multiple teams or departments
  • has broader organizational impacts, or
  • requires increased project management coordinator and oversight to ensure successful delivery

A project that has grown significantly may qualify as an IT Project Management Office (IT PMO) project. For more details, review the IT PMO project qualification to assist with this decision. For conversion, the IT PMO will review and approve the request.

Important Considerations

  • Conversions are case-by-case: the decision depends on project scope, timing, and complexity.
  • Project timing matters: projects early in development may be cancelled/restarted as a PMO request. Projects further along may be converted directly to avoid rework. 
  • Avoid duplicate requests: submitting a new PMO intake request is unnecessary and may require recreating project data.  An IT PMO consultation request is the preferred method.

  • Only the IT PMO can convert a reportable project to a IT PMO project.
  • This process kicks off the IT PMO Project process.

Steps

  1. Evaluate the need for conversion by reviewing the IT PMO Project Criteria
  2. Prepare for the IT PMO process by reviewing the IT PMO Page
  3. Submit a IT PMO Consultation Request
    • Include relevant project details and explain why conversion is being requested.
  4. Participate in the IT PMO Review Process

What's next

After submitting an IT PMO Consultation form, the project will be reviewed and if approved an IT Project Manager will be assigned and they will have the appropriate administrative permissions to convert a reportable project to an IT PMO project on TeamDynamix.

Approval for project conversion is contingent upon available resource capacity and the project's priority relative to other active and in-flight projects. As a result, not all requests for conversion may be approved or assigned immediately.
