Overview
Audience: Project Managers for Reportable IT Projects
The Reportable IT Projects need to be updated twice a month: the 15th and last day of every month. The updates need to include progress, status, and any key details to reflect on reporting.
Before you start
IMPORTANT: Only TeamDynamix Technicians with the security role of Project Manager are able to make project updates. To get access, please submit a request to the TeamDynamix Administrators, using the TDX Admins Service Form.
The first time an update is completed Services Affected field (Open Project > General > Services Affected) will need to be updated or the updates will not be saved.
Steps
- Log on to TDWorkManagement
- Select View Applications
- Select Projects
- From the left-hand menu, select the project to update. Once selected, the project will open in a new tab within the application. If you have previously opened your project, its tab may already be visible.
- Select Details from left menu
- Select Update. The Update sidebar will appear.
IMPORTANT: If you do not see the Update button, it is because you are not designated as the Project Manager for the project. Under Details scroll down to Manager and request Project Manager access from the current manager.

- Modify the project fields (Fields explained in the following section):
- Status
- Health
- Percent Complete
- Comments
- Service Affected. This only has to be updated the first time a project is updated.
- Select Save. If the project will not save, scroll up or down and see if a required field is missing an update.

Indicates the current lifecycle state of the project:
- New - Project is new and has not been worked on.
- In Process - Project has been worked on.
- On Hold - Project is not actively being worked on.

- New: Project has been created; kick-off meeting scheduled for next week.
- In Process: Requirements gathering and vendor evaluation are underway.
- On Hold: Waiting for department approval before implementation can continue.

| Health |
The rate at which the project is reaching its milestones. Provides an at-a-glance assessment of risk and overall project condition.

- Green: Hardware ordered and deployment activities are proceeding as scheduled.
- Yellow: Vendor delivery is delayed, which may impact the target completion date.
- Red: Critical staffing shortages have stopped implementation activities.

| Percent Complete |
Represents the Project Manager’s best estimate of overall project completion. The percentage should reflect total progress toward delivering outcomes.
- 0% - Project has not started
- 1-99% Project is in progress
- 100% All planned work has been completed

Note: If a project plan is used, the percentages are automatically updated. If not, examples of percentage usage:
- 10%: Initial planning completed.
- 50%: Requirements and design complete; implementation underway.
- 90%: Testing complete; preparing for production deployment.
- 100%: Project implemented and accepted by stakeholders.

Services are from the TeamDynamix Service Catalog. Only services are included, not service offerings. IMPORTANT: If the service is not on the TeamDynamix Service Catalog, the option Service Not Defined should be used. |

What's next
Once updated, the project will reflect the latest status and progress updates. Anyone with access (Resources) to the project can view these updates. Comments entered during the update are stored in the project's Feed for tracking and audit purposes. Additionally, all updates are automatically included in any Reportable IT Project reports generated after the changes are saved.
