Overview

Some users previously created personal Google accounts using their @uark.edu email address. These accounts now conflict with UARK’s managed Google Workspace.

To prevent data loss and ensure access to UARK-managed services such as Gemini for Education and NotebookLM, affected users must resolve the Google account conflict. This article explains how to resolve the account conflict.

Before you start

  • This process only applies if you created a personal Google account ending in @uark.edu.
  • You will need one of the following for verification:
    • A personal phone number (SMS or voice call), or
    • A non-Gmail personal email address (e.g., Yahoo, Hotmail) that is not already a Google account

Steps

  1. When trying to log in into Google with @uark.edu, Google will detect two accounts using the same @uark.edu email, you will see a prompt asking: “What kind of account would you like?”
    Google prompt asking which account to use: Google Workspace account or Personal Google Account
  2. Choose one of the following options:
    1. An account with Gmail and a new Gmail address
      • Your personal @uark.edu account will be renamed to a new Gmail address.
      • Do not include “uark” in the new username as this will flag or block the new username for phishing.
      • Your existing emails, files, and shared content will migrate automatically.
      • Your new Gmail address will be used for personal access; your @uark.edu account will be UARK-managed.
      • Use your @uark.edu account to access Gemini for Education and NotebookLM for enterprise protected use.
    2. An account that uses a non-Gmail email address you already own. ex: myname@yahoo.com
      • You must have access to this email for verification.
      • You cannot use another Gmail address.
      • Your non-Gmail address will be used for personal access; your @uark.edu account will be UARK-managed.
    3. Do this later
      • Not recommended. Google will continue prompting you to choose Option A or B.
  3. Follow the remaining Google prompts to complete the process of your chosen option.

What’s next

After resolving the conflict, your @uark.edu account will be fully managed by UARK. Use this account to access Gemini for Education and NotebookLM for enterprise protected use. Your personal account will be separate, and you will need to use that username to log into your personal account.

Important: Notify collaborators of your email change. Some shared documents may need to be re-shared with your updated address.
