Overview
Microsoft Outlook is the official university-supported email and calendaring platform available through Microsoft 365. All University of Arkansas students, faculty, and staff are provided with Outlook accounts for secure, integrated communication and scheduling. Outlook enables users to send and receive emails, organize meetings, manage contacts, and collaborate using calendar tools from any device. Compared to other email apps, Outlook is fully supported at UARK, includes enterprise-grade security, and connects seamlessly with Microsoft 365 apps such as Teams, OneNote, and To Do.
IMPORTANT:
Emails related to university business are public records under the Freedom of Information Act (FOIA), even if sent from personal accounts. Per the
Code of Computing Practices (FPP 900.0), university business must be conducted on university email accounts.
Key Features
Outlook offers a comprehensive suite of communication and scheduling tools. Note: The links go to Microsoft documentation of their features or functions in Outlook.
- Email Organization: Access your inbox with Focused Inbox to prioritize important messages, create folders and categories, and use rules to automate organization.
- Outlook Calendar: Use Scheduling Assistant to find shared availability for meetings, office hours, or study groups—no back-and-forth emails needed. Also can be used for scheduling some rooms on campus for meetings.
- Tasks & To Do Integration: Flag emails or create tasks in Outlook, then manage them in Microsoft To Do using “My Day” to stay focused on top priorities.
- Shared Calendars & Delegation: Share your calendar with colleagues or assistants, and delegate access so others can manage meetings or appointments on your behalf.
- Outlook + Teams Integration: Schedule and join Teams meetings directly from your Outlook calendar, and share emails directly to a Teams chat or channel.
- Outlook + OneNote Integration: Pull meeting info from Outlook to OneNote and send an email from Outlook to OneNote in one click (Home > Send to OneNote).
- Grab someone's attention with @: Use @Name in emails to highlight action items. Great for group projects, team coordination, or student communications.
- Automate actions: Automate repeated actions such as moving emails, flagging messages, or replying with a template in one click.
- Search: Use the search bar to quickly find messages, files, and calendar events.
- Automatically organize incoming emails: Apply filters for sender, attachments, or keywords by creating rules in the inbox.
- Mobile Productivity: Stay connected on the go with the Outlook mobile app, including push notifications, quick replies, and access to both email and calendar.
- Modify notifications to your preference (On/Off): By default all alerts and notifications are turned on for emails and events. Settings can be modified to your preference.
Tip: Did you know you can “snooze” an email in Outlook to temporarily remove it from your inbox and have it reappear later when you’re ready to respond?
Access
You can access Microsoft Outlook from a web browser, desktop application, or mobile device. Be sure to log in using your @uark.edu email address.
Web App (Desktop)
- Visit myapps.microsoft.com.
- Sign in using your @uark.edu credentials.
- Select the Outlook logo. Note: The My Apps dashboard is customizable and may not be listed alphabetically.
- You will be redirected to Outlook browser app.
Desktop App
- Open the Outlook desktop app included in Microsoft 365 installations.
- Sign in with your @uark.edu account to sync mail, calendar, and contacts.
Mobile App
Download the Microsoft Outlook app from the following app stores and log in with your @uark.edu credentials:
